August 12, 2026The QuickBooks Online integration copies your store's sales records from LifeSaver into your QuickBooks Online records, so bookkeeping never means re-keying invoices. You pick a date range, and LifeSaver pushes every invoice within the range — along with the customers and payments attached to them — straight into QuickBooks. It can also load your inventory catalog into QuickBooks as Items.
From the home screen, or the ☰ Menu panel, open QuickBooks Online under the Administration heading. Everything in this guide happens on that one page.
Before you start, three things need to be true:
Enabled but not showing? A store administrator can restore the menu item under Store Configuration › Home Screen › Administration › QuickBooks Online — tick Home Screen and Nav Panel, then save.
Until the store is connected, the page shows a Not Connected badge and a single button. Clicking Connect to QuickBooks takes you to Intuit's own sign-in page.
Sign in with your QuickBooks account, choose the company if you have more than one, and approve the connection when Intuit asks.
The page returns with a green "Successfully connected to QuickBooks Online!" message and the badge switches to Connected. The Sync Summary, Manual Sync, and Failed Syncs panels appear below.
One store, one company. Sign in with the QuickBooks account for the company file you want this store's records in — each store connects to exactly one QuickBooks company.
Before your first invoice sync, click Sync Inventory to QuickBooks in the Connection Status panel and confirm. This pushes your active LifeSaver inventory items into QuickBooks as Items, so they're there for synced invoices to use.
In the Manual Sync panel, set a Start Date and End Date. Every invoice in that range syncs, along with its customer and any payments on it — you never sync customers or payments separately.
Confirm when asked. LifeSaver answers "Sync initiated for n invoice(s) and their customers/payments." and the actual pushing carries on in the background — you can leave the page. If the range is empty you'll see "No invoices found in that date range." instead.
Click Refresh under the Sync Summary. Each record type — Customer, Invoice, Payment — shows counts for Synced (green), Failed (red), and Pending (amber). The tables never update on their own, so Refresh is always the way to look again. A short stay in Pending is normal; refresh again in a minute.
Anything that didn't make it into QuickBooks lands in the Failed Syncs panel: the record type, LifeSaver's record number, when it was last tried, how many tries so far, and the error QuickBooks sent back. Click Retry on a single row, or Retry All Failed Syncs to requeue everything. Retries run in the background too — Refresh to see the outcome.
Seeing "Token Revoked" or "Authentication Failed?" QuickBooks has stopped accepting the store's connection, even though the page may still say Connected. Click Disconnect, then Connect to QuickBooks and sign in again, then Retry All Failed Syncs. This fixes the most common failures.
message= usually says what's wrong. If you're stuck, call support and read off the Type and Entity ID.The Disconnect button in the Connection Status panel breaks the link and returns the page to Not Connected. Nothing already in QuickBooks is removed — disconnecting only stops future syncs. To reconnect, or to switch to a different QuickBooks company, just click Connect to QuickBooks again.
Connections don't last forever: if you haven't synced in a few months, QuickBooks lets the link lapse and the page will show Not Connected again on its own. Reconnect and carry on — nothing is lost.
